Step 1 — Collect what your team actually sends
Gather the real artifacts, not the templates you wish you used: recent cold emails, follow-up sequences, a few call recordings or transcripts, proposals, one-pagers, and any decks reps send. Pull from more than one rep — the whole point is to see the range, including the improvised messages nobody reviewed.
Step 2 — Put it next to your brand voice
Line the sales material up against your marketing: the website, your best content, the brand guide if one exists. Read them back to back. The gap usually announces itself — the marketing is measured and specific, the sales follow-up is casual and generic, and they clearly came from two different hands.
Step 3 — Flag the divergences that cost you
Look for four things. Tone — does the sales message match the confidence and calm of the marketing, or does it read as pushy? Claims — do reps describe what you do the way marketing does, or invent their own version? Terminology — same words for the same things, or a different vocabulary per rep? Formatting — do proposals and emails look like they belong to the brand? Each flag is a place a prospect feels the seam.
Step 4 — Turn findings into a fix
